Those who participate in this forum are required to register and pay the registration fee. 

※The participants also include oral session organizers, poster session organizers, flash talk presenters and exhibition presenters.

※Some sessions and events are open to public(Except who those working in the field of disaster risk reduction and experts for the disaster risk reduction).

Visa Policy

All conference participants are required to check with their local Japanese Embassy or Consulate for visa requirements.

World Bosai Forum Foundation is able to issue a Letter of Invitation in English upon completion of payments for registration and hotel accommodation for the duration of the conference (all four days) to prove acceptance to participate in World Bosai Forum/ IDRC 2019 in Sendai. However, this letter does not guarantee a visa. With regard to hotel cancellation policies, please check with the hotel website.

Further, World Bosai Forum Foundation has no control over the visa application process or the decisions taken by the Japan Ministry of Foreign Affairs.

Please note that World Bosai Forum Foundation is not able to issue additional documents required for visa such as organization registration letter, letter of guarantee, schedule of stay, local sponsorship or governmental format letters.

Should your visa application be rejected, World Bosai Forum Foundation cannot engage to change the decision of the Ministry of Foreign Affairs of Japan, or with the Japanese embassies or consulates.

Participants who require visas are advised to start the process as early as possible.

*Admission free for high school student or under.

*’Student’ is those who university student, a post graduate school student and vocational school student. They need to show a student identification card when the registration.

*Registration will only be completed upon receipt of a copy of a valid student ID via email to the Registration Support Office.

*Please show the original valid student ID card at the reception desk during the World Bosai Forum.

For participants who bring their family members

(1) “Family members” are non-experts / those not working in the field of disaster risk reduction.
(2) Family members are basically not required to pay the registration fee.
(3) Forum participants need to include information of their family members at the time of their own registration.
(4) Family members have an access only to the sessions where their accompanying forum participant takes part in.

※Registered family members may be requested to show an ID document such as passport at the registration desk for the World Bosai Forum to confirm their family relation.

※participants are responsible for taking care of their children during the forum especially in the session rooms.

  2. An email will be automatically sent to your registered email address soon after your personal account is created. Please click on the URL in the email within 24 hours.
  3. Please read the terms and conditions described in the ‘Registration to the World Bosai Forum 2019.’ If you agree to them, please check the ‘Agree’ button and click on the ‘Registration’ button. This will guide you to the Registration page (Note that you must log-in again in case you logged out).
  4. Please fill out all the required information and click on the ‘Next’ button to move to the confirmation page.
  5. Please review the information and click on ‘Confirm and Register’ to complete the registration. You will receive a confirmation email. Please click on the URL and check the contents of your information. This page will be referred to ‘My Page’ hereafter.
  6. Please select the ‘Operation’ in the ‘My Page’ and click on ‘Online Payment.’
  7. Please read the payment details for your selection of the payment and scroll down to the bottom of the page. Please click on ‘confirm and proceed to payment’ button to move to the payment screen.
  8. Please enter your credit card information to complete the payment.

Receipt/Registration Certificate

The receipt will be handed over with your name card upon your arrival at the registration desk during the World Bosai Forum. Please show the photocopy of the conformation email or its email on screen in your mobile phone, tablet, or PC.

Cancellation Policy

For cancellation, please follow the procedure below.

Before credit card payment

Click ‘Cancel registration’ in ‘Operation’ on ‘My Page’, and perform the cancellation operation.

After credit card payment

Please send an e-mail to Registration Support Office for the World Bosai Forum:

The amount of refund will depend on the date of cancellation as follows:

  • Cancellations received by August 15, 12 noon. (JST), 2019: 100% will be refunded.
  • Cancellations received between August 15 12:01 p.m. (JST), 2019, and, September 15, 12 noon. (JST), 2019: 50% will be refunded.
  • Cancellations received after September 15, 12:01 p.m. (JST), 2019-No refund.

Please note that all refunds will be made after the forum in November.
